Accounting integration for online stores

WooCommerce integration with DK, Regla and Payday

Your store and your accounts, in sync without manual work. We build accounting integrations between WooCommerce or a custom site and DK, Regla or Payday, and connect Icelandic payment gateways, so orders become invoices and stock levels stay right.

When does an integration pay off?

A good fit if

  • someone copies orders into the accounting system by hand
  • stock levels on the site and in your accounts don’t match
  • you’re switching accounting system or store and don’t want to start over
  • you need a custom connection, for example to a booking system or a supplier

Less of a fit if

  • you only get a handful of orders a month. Entering them by hand may be cheaper, and we’ll tell you so.
  • the store itself is the problem. Then it is better to fix the foundation first.See online stores

What’s included

An integration is more than moving data. It has to survive errors, retries and change.

  • Data-flow mapping

Which data goes where, which system owns it, and what happens with returns and credit notes.

  • Invoices and credit notes

Orders become invoices in your accounting system, with the right VAT and kennitala (Icelandic ID number) where needed.

  • Stock and prices

Stock levels and prices synced between systems, so you’re far less likely to sell what’s sold out.

  • Safe retries

If a sync fails it is retried, without the same order being recorded twice.

  • Monitoring and alerts

Errors are logged and you are notified, instead of data quietly going missing.

  • Custom development

Connections to booking systems, suppliers or in-house systems when off-the-shelf plugins fall short.

How we build an integration

Most integration failures come from unclear rules, not bad code. So we start with the rules.

  1. Mapping

We walk through your order process, your accounting and the exceptions: returns, discounts, gift cards and shipping.

  2. Choosing the route

Sometimes an existing plugin is enough. Sometimes it needs custom work. We recommend the simplest option that holds up.

  3. Build and test

The integration is tested in a staging environment with realistic orders before it goes live.

  4. Run and monitor

Once live, we keep an eye on it and fix whatever comes up.

Integration questions

How do I connect WooCommerce to DK?

DK offers a web service (dkPlus), with access granted by DK. The integration reads orders from WooCommerce, creates invoices in DK and can pull stock levels and prices back. Our DKsync plugin, which syncs products, stock levels and invoices between WooCommerce and DK, usually does the job. When your process is unusual we build the integration around your rules.

Can you connect gift cards to dkPOS?

Yes. Our gift card plugin creates gift cards in the dkPOS till system through DK’s web service.

How do DK, Regla and Payday integrations differ?

The systems are built differently. Payday has an open API, DK grants access to its web service, and Regla connects to WooCommerce from inside Regla using keys from the store. So each integration is set up differently, and something simple in one system can need a custom solution in another. We cover this during mapping.

Do stock levels update on the site automatically?

Yes, if your accounting system manages stock, the integration can fetch levels regularly and update the site. How often depends on the system and the number of products. We tune it so sold-out items stop selling before it causes problems.

What happens if the integration fails?

The order shouldn’t be lost: it waits in a queue and is retried, and if that doesn’t work, you or we get an alert. We build integrations so the same order cannot be recorded twice, even when a sync is repeated.

What do integration and maintenance cost?

It depends on whether an existing plugin will do or a custom integration is needed, how many types of data move between systems, and how many exceptions your process has. The systems on either side also change over time, so we recommend a maintenance agreement for integrations your business relies on.

Can you connect a payment gateway or booking system?

Yes. We set up gateways such as Teya, Rapyd and Straumur, and connect booking systems and other tools that offer an API. If a system has no API, we look at what other routes are available.

Which systems do you want connected?

Tell us which store and accounting system you use, and where the manual work is. We’ll tell you what’s realistic.
